My Invoice Balance Is Incorrect

If an invoice balance does not look correct, there are a few common things worth checking.

In most cases, invoice balances are affected by recorded payments or changes made to the invoice.

Check Recorded Payments

Invoice balances automatically update when payments are recorded.

Review the payment history and confirm that all recorded payments are correct.

Check:

  • Payment amounts

  • Payment dates

  • Number of payments recorded

An incorrect payment amount can affect the remaining balance.

Check For Part Payments

Invoices can accept multiple part payments.

If a customer has only paid part of the invoice, the remaining balance will continue to be shown until the invoice has been paid in full.

Review the payment summary to confirm how much has been paid and how much remains outstanding.

Check For Duplicate Payments

If the same payment has been recorded more than once, the invoice balance may appear incorrect.

Review the payment history and confirm each payment has only been recorded once.

Check Recent Changes

If invoice items, quantities or values have recently been changed, the invoice total may have been updated.

Review the invoice details and confirm the invoice value is correct.

Review Payment History

The payment history provides a record of all payments recorded against the invoice.

Comparing the invoice total against the payment history can help identify any discrepancies.

Correcting Payment Errors

If a payment has been recorded incorrectly, it can be removed from the invoice.

Once removed, the invoice balance will automatically recalculate based on the remaining recorded payments.

Check Invoice Status

Invoice statuses are updated based on payment activity.

An invoice may show:

  • Sent

  • Partial

  • Paid

If payments have recently been added or removed, review the status to ensure it reflects the current balance.
