Creating an Invoice

Invoices help you request payment from customers while keeping billing information connected to your work.

Invoices can be created either from an existing quote or job, or as a standalone invoice.

Creating an Invoice From a Quote or Job

Invoices can be created directly from existing quotes and jobs.

Creating invoices this way helps keep customer information, pricing and work history connected throughout the workflow.

Depending on the stage of the work, you can create:

  • Deposit invoices

  • Progress invoices

  • Final invoices

FieldHive automatically tracks previously invoiced amounts and remaining balances, helping reduce duplicate data entry and improve billing accuracy.

Creating a Standalone Invoice

Invoices can also be created directly from the Invoices section.

This is useful when you need to invoice work that is not linked to an existing quote or job.

When creating a standalone invoice, you can add:

  • Customer information

  • Job details

  • Descriptions

  • Materials

  • Labour

  • Services

  • Pricing

Items can be added manually or selected from your catalogue.

Using the Catalogue

Catalogue items can be added directly to invoices, helping speed up invoice creation and maintain consistent pricing.

Materials, labour and services can all be reused from your catalogue rather than entered manually each time.

Invoice Information

Invoices can contain information such as:

  • Customer details

  • Invoice number

  • Job information

  • Materials and labour

  • Totals and taxes

  • Payment information

This helps provide customers with a clear breakdown of charges.

AI Rewrite

Invoice descriptions can be improved using AI Rewrite where enabled.

This can help create clearer and more professional customer-facing descriptions.

Reviewing an Invoice

Before sending an invoice, it is worth reviewing all information to ensure customer details, descriptions and pricing are correct.

Accurate invoices help reduce payment queries and create a more professional customer experience.

Sending an Invoice

Once complete, invoices can be prepared and sent to the customer.

FieldHive supports different invoice formats, allowing you to choose how much detail is shown before sending.

Connected Workflows

Invoices remain connected to customers and, where applicable, linked quotes and jobs.

This helps create a complete history of work, pricing and payments while reducing duplicated administration.
