Understanding the FieldHive Workflow

FieldHive is designed to follow the natural workflow of a trade business, helping you manage work from the first customer enquiry through to final payment.

Understanding how each area connects will help you get the most from the platform.

Step 1: Create a Customer

Most work begins with a customer.

Customer records store contact information and can be reused throughout FieldHive, reducing duplicate data entry.

Once a customer has been created, they can be selected when creating quotes, bookings and invoices.

Step 2: Create a Quote

Quotes allow you to prepare pricing for a customer.

Quotes can include:

  • Materials

  • Labour

  • Services

  • Descriptions

Items can be added manually or selected from your catalogue.

Once complete, quotes can be sent directly to the customer.

Step 3: Schedule the Work

Bookings help organise upcoming work.

Bookings can be created independently or linked to existing work.

The calendar provides a clear view of scheduled jobs and availability throughout the week.

Availability indicators help you quickly understand how busy each day is based on your working hours and existing bookings.

Step 4: Create an Invoice

Once work is complete, an invoice can be created for the customer.

Invoices can be created:

  • As standalone invoices

  • From existing quotes

  • From existing jobs

This helps maintain a complete history of customer activity throughout the workflow.

Step 5: Record Payment

Payments can be recorded directly against invoices.

FieldHive automatically tracks:

  • Invoice value

  • Amount paid

  • Remaining balance

This helps you understand which invoices are outstanding and which have been paid.

A Flexible Workflow

While many businesses follow the workflow above, FieldHive is designed to be flexible.

For example:

  • You may create a standalone invoice without creating a quote.

  • You may create a booking before preparing a quote.

  • You may work with repeat customers without needing a new quote each time.

FieldHive adapts to the way your business works.

Everything Stays Connected

Customers, quotes, bookings and invoices work together throughout FieldHive.

This helps reduce administration, improve record keeping and provide a clear history of customer activity from first contact through to final payment.
