Understanding Invoice Statuses

Invoice statuses help you track the progress of invoices from creation through to payment.

As invoices move through the billing process, their status can be updated to reflect their current stage.

Using statuses consistently makes it easier to understand which invoices still require attention and which have already been paid.

Draft

Draft invoices are still being prepared.

These invoices have not yet been sent to the customer and may still require changes to descriptions, items, pricing or payment information.

Sent

Sent invoices have been delivered to the customer.

The invoice has been issued, but no payment has yet been recorded against the outstanding balance.

This status helps identify invoices that are awaiting payment.

Partial

Partial invoices have received a payment, but an outstanding balance remains.

This allows you to track invoices where a customer has paid part of the total amount but has not yet settled the invoice in full.

Paid

Paid invoices have been fully settled.

The outstanding balance has been cleared and no further payment is required.

This status helps distinguish completed invoices from those that still require action.

Archived

Archived invoices are no longer actively being managed but remain available for future reference.

This helps keep invoice lists organised while preserving historical records.

Why Invoice Statuses Matter

Invoice statuses provide a clear view of your billing activity and help you understand the current state of customer payments.

They can help you:

  • Identify unpaid invoices

  • Track part payments

  • Monitor paid invoices

  • Keep invoice lists organised

  • Understand outstanding balances

Keeping Invoices Organised

Updating invoice statuses and recording payments regularly helps keep your financial records accurate.

An organised invoice workflow makes it easier to understand which invoices require attention and which have already been completed.
